1. Purpose 

This policy sets out TrainAssure’s commitment to safeguarding and promoting the welfare of children, young people, and vulnerable adults, and ensuring the safety of all individuals encountered during training delivery. 
It provides clear guidance for staff entering schools, care facilities, and corporate environments. 

2. Scope 

This policy applies to: 

  • All TrainAssure trainers, assessors, IQAs, and administrative staff 
  • Contractors and consultants working on behalf of TrainAssure 
  • Training delivered in:  
  • Schools and educational settings 
  • Care homes and health/social care environments 
  • Corporate workplaces 
  • Hired venues including sports clubs etc. 
  • All learners, including adults and vulnerable groups 

3. Policy Statement 

TrainAssure is committed to: 

  • Creating a safe environment for all learners and staff 
  • Preventing abuse, neglect, exploitation, and unsafe practices 
  • Ensuring staff understand their safeguarding responsibilities 
  • Responding promptly and appropriately to safeguarding concerns 
  • Working in partnership with schools, care providers, and employers 
  • Complying with relevant legislation, including:  
  • Children Act 1989 & 2004 
  • Working Together to Safeguard Children (2023) 
  • Care Act 2014 
  • Keeping Children Safe in Education (KCSIE) 
  • Safeguarding Vulnerable Groups Act 2006 

4. Definitions 

Child: Anyone under the age of 18. 

Vulnerable Adult: An adult who, due to age, disability, illness, or circumstance, may be unable to protect themselves from harm or exploitation. 

Abuse: Includes physical, emotional, sexual, financial, discriminatory, organisational, and neglect. 

Safeguarding Concern: Any situation where a child or adult may be at risk of harm. 

5. Responsibilities 

5.1 TrainAssure Staff 

All staff must: 

  • Complete safeguarding training appropriate to their role 
  • Follow this policy and local safeguarding procedures 
  • Report concerns immediately 
  • Maintain professional boundaries at all times 
  • Carry appropriate identification when entering schools or care facilities 
  • Comply with DBS requirements where applicable 

5.2 Management 

Management will: 

  • Ensure safeguarding training is up to date 
  • Maintain secure records of safeguarding concerns 
  • Support staff in reporting and escalating concerns 
  • Liaise with external agencies when required 

6. Safeguarding in Different Environments 

6.1 Schools and Educational Settings 

Staff must: 

  • Sign in and out according to school procedures 
  • Never be alone with a child unless authorised and visible to others 
  • Avoid physical contact unless necessary for safety 
  • Report any disclosures immediately to the school’s Designated Safeguarding Lead (DSL) 
  • Follow the school’s safeguarding and behaviour policies 

6.2 Care Homes and Health/Social Care Settings 

Staff must: 

  • Respect the dignity and privacy of residents 
  • Be alert to signs of neglect, poor care, or abuse 
  • Report concerns to the facility’s safeguarding lead and TrainAssure 
  • Avoid involvement in personal care tasks 

6.3 Corporate Environments 

Staff must: 

  • Recognise that adults may also be vulnerable 
  • Report concerns about harassment, discrimination, or unsafe behaviour 
  • Maintain professional boundaries and confidentiality 

7. Reporting Safeguarding Concerns 

Concerns may arise from: 

  • A disclosure from a learner 
  • Observed behaviour 
  • Signs of abuse or neglect 
  • Unsafe working practices 

7.1 Immediate Actions 

  • If someone is in immediate danger, call 999 
  • Report concerns as soon as possible to:  
  • The organisation’s safeguarding lead (school, care home, employer) 
  • TrainAssure’s Safeguarding Lead 

7.2 Internal Reporting 

Provide: 

  • Name of the individual 
  • Nature of the concern 
  • Date, time, and location 
  • Factual observations (no assumptions) 
  • Any actions taken 

All reports must be documented and stored securely. 

8. Allegations Against TrainAssure Staff 

If an allegation is made: 

  • As appropriate, the staff member will be removed from duties or reassigned to alternate activities pending investigation 
  • The Safeguarding Lead will notify the relevant organisation and external agencies if required 
  • A fair, confidential investigation will be conducted 
  • Disciplinary action may follow if misconduct is confirmed 

9. Confidentiality 

  • Information will be shared only on a need-to-know basis 
  • Records will be stored securely and retained in line with data protection legislation 
  • Whistleblowers will be protected from victimisation 

10. Training and Awareness 

TrainAssure will ensure: 

  • All staff receive safeguarding training at induction 
  • Refresher training is completed as required 

11. Monitoring and Review 

  • Safeguarding incidents and near-misses will be logged and reviewed 
  • Trends will be analysed to improve practice 
  • This policy will be reviewed annually or sooner if legislation changes
